The job:

The Event & Finance Support Officer will have three main functions. Firstly, the person will join the organising team of ILGA-Europe’s Annual Conference, a four-day event bringing together over 600 activists, funders and policy-makers from Europe and Central Asia. Their tasks will include managing scholarship programmes (coordination of selection process, communication with applicants and selected scholars, managing logistical arrangements, etc.); ensuring smooth and effective coordination of volunteers, managing the data-base of participants and communication with participants. Secondly, the person will provide support to ILGA-Europe grantees, including guidance on compliance and financial matters as well as verification of reporting in accordance with grant regulations and budget constraints. The person will also be responsible for the daily running of the office which is a workplace for 20 staff members.

Candidates should be strongly committed to working for human rights and equality, and have competencies and demonstrated experience in:

  • Implementing and executing long-term processes and organisational systems that contribute to the realisation of a holistic vision;
  • Supporting events and contributing to their impact on the participants and organisation itself, including effective communication and processing requests, management of data-bases, implementing and executing long-term processes and organisational systems;
  • Administrating project budgets, processing of financial documents (in accordance with grant requirements) and implementing financial procedures and policies;
  • Conducting systematic work and ensuring an efficient running of the office.

Qualifications, experience and other requirements:

  • Ability to implement event related tasks and organize processes in a way that contributes to set objectives;
  • Ability to proactively assess needs and propose solutions;
  • Ability to ensure compliance of costs with various grant and project regulations;
  • Ability to assist with year-end and annual audits and financial closes;
  • Ability to handle multiple projects at once and determine priority;
  • A high standard of written and spoken English; Excellent communication skills including the ability to operate data-base software, spreadsheets and word-processing programs at a highly proficient level;
  • Ability to work as part of a diverse team, and maintain excellent working relationships, in a high-paced environment;
  • Ability to work in an administrative and support role, including experience with setting up and managing administrative systems;
  • Demonstrated capacity to adapt to rapidly changing environments;
  • Sensitivity to working in a multicultural and diverse environment and commitment to promoting respect for equality and diversity;
  • Ability to implement diversity into your everyday work;
  • Ability to think constructively on sensitive issues relating to the security of the staff and members;
  • Capability to plan and work independently;
  • Willingness to relocate to Brussels and travel in Europe;
  • Basic communicative level of French, Dutch (for communication with service providers in Brussels) - (desirable);
  • Basic communicative level of Russian (for communication with conference participants) - (desirable);
  • Experience of working with and/or in an NGO (highly desirable).

Employment information:

Full-time position (37.5 hours/week) for one year, renewable contract (subject to ongoing funding). Salary scale: Euros 46 608.61 to 51 986.53 in three annual increments, starting at the beginning of the scale. The organization has a generous remuneration package, including contributing to local transportation costs, luncheon vouchers, hospitalisation insurance, a pension scheme for employees and ‘family friendly’ policies. Relocation support to Brussels will be given where appropriate.
