SAIL is an independent company based in Belgium that provides Services to Associations and Industry in the Lubricants sector. SAIL has been contracted by ATIEL (the Technical Association of the European Lubricants Industry) to provide administrative, financial and management services in support of ATIEL's product compliance system.

The European Engine Lubricant Quality Management System (EELQMS) is a voluntary quality management system for automotive engine lubricants.

ATIEL, having the sole and exclusive ownership of the EELQMS Trademark, has authorised SAIL to sub-license the Trademark to companies who confirm full compliance with EELQMS through signing a Marketers’ “Letter of Conformance” (LoC).

SAIL operates the registration system of the signatories of the LoC on behalf of ATIEL, in association with ATC (the Technical Committee of Petroleum Additive Manufacturers in Europe) and ACEA (The European Automobile Manufacturers’ Association).

SAIL is also responsible for ATIEL's product compliance monitoring programme and coordinates the activities and communications of all stakeholders involved in the programme https://www.sail-europe.eu.

JOB DESCRIPTION

The Director will assume the role of Manager in SAIL and be responsible for the execution of the following tasks:

Administration of the Letter of Conformance (LoC) registration system

  • maintaining the administrative system for Marketers’ and Base Stock Manufacturers’ LoCs;
  • interacting with current and prospective registrants for Marketers’ and Base Stock Manufacturers’ LoCs;
  • drafting and managing the budget;
  • collecting the fees for the Marketers’ LoCs;
  • maintaining the lists of Marketers’ and Base Stock Manufacturers’ LoC signatories;
  • sub-licensing the EELQMS trademarks to Marketers’ LoC signatories;
  • prospecting for new registrants for Marketers’ and Base Stock Manufacturers’ LoCs.

Monitoring Marketers’ LoC compliance through an ongoing product survey

  • managing the test lab contract;
  • organising tenders as required;
  • maintaining the integrity and confidentiality of the data information system;
  • interacting with registrants and monitoring follow-up on recommended corrective actions;
  • implementing sanctions;
  • maintaining and adapting an administrative system for the registration and follow- up of the various product surveys;
  • maintaining and adapting a system for the interpretation and creation of survey lists and reports ensuring strict confidentiality of data.

Reporting & Communication

  • interacting with ATIEL QMS (Quality Management System) Technical Committee and Board of Directors on Marketers’ and Base Stock Manufacturers’ LoCs;
  • interacting with TEC (Technical Experts Committee) and ASB (Appeals and Sanctions Board);
  • keeping information on website up-to-date for Marketers’ and Base Stock Manufacturers’ LoCs;
  • keeping ATIEL informed in writing on his/her activities for SAIL on a three monthly basis.

Start date: 15 November 2021

PROFILE

  • University Degree in science or engineering or equivalent through experience;
  • Experience of the lubricant business an asset;
  • Thorough knowledge of Microsoft Office products is required to maintain and adapt the various systems used for the follow-up of administration and surveys;
  • Fluent in both written and spoken English with a style that is easily understandable for non-English speakers. Knowledge of other languages will be an asset;
  • Able and willing to travel on occasion as required.

TERMS OF CONTRACT

  • Part-time- the position requires an average time availability of 3.3 days per week. The workload fluctuates and on some occasions an availability of more is required;
  • The term of office is two years, renewable for further periods of two years;
  • Salary will be in accordance to the responsibilities of the position and experience of the selected candidate;
  • The candidate must be self-employed as well as self-sufficient in terms of office space and the necessary equipment to perform the job.
