About the team/job

EMBL is looking for a Grants Data and Research Information Officer, based in the Grants Office of the UK site, EMBL-EBI (nr. Cambridge, UK), but will collaborate with many teams across the whole of EMBL.

The European Molecular Biology Laboratory (EMBL) was set up to promote molecular biology across Europe, and to create a centre of excellence for training Europe's leading young molecular biologists. It is a non-profit, intergovernmental organisation funded by 27 EMBL member states and two associate member states along with funding secured from external funding bodies.

The complex funding landscape at EMBL means that a number of reporting requirements need to be met, including to EMBL member states and to external funding bodies. Your role will have particular responsibility for developing and curating the application and grants data in our Current Research Information System. You will be responsible for developing the grants data standards and associated guidance in line with strategic and compliance needs of the institute, for the data quality curation of the data, and for developing management information reports to be used both across EMBL and in our communication with external funders.

The EMBL-EBI Grants Office is a friendly, highly communicative team, currently comprising of seven Grants Officers, one HR-Finance Systems Administrator, and the Grants Office Supervisor. Your role will be line managed by the EMBL-EBI Grants Office Supervisor with joint functional accountability to the EMBL Head of Grants based in Heidelberg, Germany. The work is varied, and you will have the autonomy to develop and improve processes in a dynamic, international working environment.

Your role

Duties and responsibilities:

  • Operation of EMBL's research information management systems, in particular, management of data pertaining to applications and grants with tools such as Converis and SAP;
  • Survey data requirements and assess against data currently maintained;
  • Map CRIS workflows for application and grants data, develop new data entry standards, and provide associated training materials for EMBL staff on data entry and how inputted data is used;
  • Develop and coordinate monthly processes to ensure data is updated by Grants Officers and run Quality Control housekeeping reports to ensure data is complete and accurate and in line with data standards;
  • Provide management information reports on EMBL application and grants data for stakeholders, including strategy, impact, compliance, and governance with policies of EMBL and external funding bodies;
  • Using ERP (SAP) and CRIS (Converis) data to improve the efficiency of standard reports required by funders (e.g., NIH/WT Other Support, Impact KPIs for capital funding) and EMBL (e.g., Scientific Advisory Committee reports - EMBL's equivalent to UKRI REF);
  • Keep abreast of developments in Research Information systems.

You have

Qualifications and experience:

  • Hands-on experience using software and tools required for one or more aspects of research information management; for example CRIS systems (EMBL currently operates Converis) and ERP software (EMBL currently operates SAP) and associated analytic reporting tools (e.g., BI);
  • Degree level education or other relevant equivalent qualifications or experience;
  • Experience in data collection and analysis in order to create reports, such as for the Research Excellence Framework (REF);
  • Practical understanding of important elements of Data Protection;
  • Experience in the development and coordination of processes and procedures;
  • Project management experience along with excellent organisation and time management skills;
  • Excellent command of Excel;
  • Ability to work independently within a team setting;
  • Excellent communication skills; it is essential to be able to communicate with a variety of stakeholders on process improvement and in the communication of analysis and insight to relevant audiences;
  • Proven administrative skills;
  • Excellent spoken and written English.

You might also have

  • A degree in life sciences will be an advantage in understanding the work of the institute you are supporting and the associated strategic and compliance requirements;
  • Experience in grants and contracts administration;
  • Knowledge financial models and administrative processes all main relevant funders (UKRI, WT, NIH, EC);
  • Understanding of an international research landscape.
