SUMMARY

The State Visit and Missions department plays a key role in the Belgian Foreign Trade Agency. It oversees the organization of two State Visits and two economic trade missions every year. Trade missions count several hundred participants and are organized all around the world.

The coordinator will be leading a team that will be responsible for the complete organization of the mission. He/she will work in close cooperation with the Federal and regional actors to ensure the success of the preparation. General coordination with the Royal Palace is also required, as well as frequent consultations with the Embassies. Each mission requires several months of preparation.

The function requires multiple stays abroad to prepare the mission, and during the mission.

Concrete tasks include:

  • Drafting and updating the official program of the mission;
  • Compiling the registrations of the official and business participants, as well as the press;
  • Call for tenders, negotiation, selection of logistic providers (airlines, hotels, local transport);
  • Management and updates of reservations (flights, accommodation, events);
  • Management of the budget of the mission;
  • Setting up of the app and website of the mission;
  • Participation in the preparatory trips (premission, advance) and reporting on these;
  • Coordination of the local transport to/from all official activities of the official program: booking of the vehicles and setting up the motorcade.

QUALIFICATIONS AND EXPERIENCE

ESSENTIAL:

The incumbent must:

  • possess a university or higher education degree in international relations, or a relevant discipline (communication, event management, translation…);
  • have at least 10 years of relevant experience in progressively responsible positions related to event management, coordination of projects or in a travel agency;
  • excellent level of English/French/Dutch (at least a combination of two);
  • demonstrate tact, discretion and diplomacy;
  • have extensive experience and proven capacity to lead, inspire and engage a diverse and multidisciplinary team;
  • have excellent organization skills and be a problem solver;
  • have excellent communication skills, both orally and in writing, and be able to draft clearly and concisely;
  • readiness to travel abroad frequently and for long periods, and to do overtime in peak periods.

DESIRABLE:

The following would be considered an advantage:

  • experience/knowledge of the Belgian institutional context.
