We are looking for a European Projects Administration and Finance Officer (permanent contract) to coordinate, secure and optimise our European funding, within a multidisciplinary and multicultural team of around fifteen people.

Under the supervision of the Deputy executive director, the successful candidate will be responsible for the following tasks:

Develop and optimise the association’s external funding:

  • Conduct strategic monitoring of funding opportunities and other funders (public and private);
  • Respond to calls for proposals on administrative and financial components, working in tandem with program managers : lead the preparation of applications and ensure submissions in compliance with the rules and deadlines of the European Commission and other funders;
  • Monitor legislative developments related to EU financial instruments, in the context of new programming periods or regulatory changes.

Ensure the administrative and financial management of projects co-funded by the European Union or other donors:

  • Act as the liaison with the European Commission and other funders: contract negotiation, contract management, and amendment requests via the different platforms;
  • Disseminate administrative and financial best practices among program managers and ensure their internal implementation (strong pedagogical approach required);
  • Prepare interim and final reports in compliance with funders’ and partners’ rules and deadlines;
  • Lead and support partnerships on administrative and financial aspects for projects where Efus acts as coordinator (pedagogical approach required);
  • Manage external audits during the project lifecycle, at project closure, and post-project.

Profile:

  • University degree (Master’s level or equivalent) with significant experience (4–5 years) in the administration of European projects, with a strong interest in legal and financial aspects;
  • You will work in close and continuous cooperation with the accounting team on financial matters;
  • You have proven expertise in the design, administration and financial management of European projects, with at least five years of experience (H2020/Horizon Europe, DG Justice, DG HOME, Interreg, Erasmus+);
  • You are familiar with relevant software tools and platforms, are well-organised, and able to closely monitor service provider contracts, activity planning and cost calculations;
  • You have experience analysing key project management documents (Grant Agreements, Consortium Agreements, calls for proposals) and documents produced by funding bodies. You are able to adapt to different budget and reporting formats;
  • You demonstrate strong organisational skills, attention to detail, the ability to work within a collective dynamic, a strong sense of initiative and responsibility. You can manage multiple projects simultaneously, as well as the annual rhythm of project submissions. You are autonomous in organising priorities and have excellent interpersonal skills;
  • You are motivated by the prospect of potentially expanding the role to include the search for additional funding sources and donors, and you have a strategic budgetary vision of what a sustainable project submission cycle could look like for an association;
  • You have strong IT skills, with a good command of Excel and database management;
  • You are bilingual in English and French, with strong written communication skills in both languages. Additional languages are an asset.
