The European Molecular Biology Laboratory (EMBL) is one of the highest ranked scientific research organisations in the world. The Headquarters Laboratory is located in Heidelberg (Germany), with additional sites in Grenoble (France), Hamburg (Germany), Hinxton (UK) and Monterotondo (Italy).
The Hamburg Unit of EMBL hosts an international laboratory with close to one hundred staff and fellows. The main activities are focused on research in structural biology, the provision of experimental facilities to the external research community, and advanced training for scientists. EMBL Hamburg coordinates and is involved in a number of national and international funded projects.
The administration team of this Unit has a broad portfolio of tasks including: human resources, accounting and purchasing, support of externally funded projects, scientific meetings and other events, support of external visitors. The advertised administrative officer position will initially replace main tasks of a maternity leave for approximately one year. Subsequent task distribution will be coordinated with other members of the team and the supervisor, by both opening career opportunities and by making best use of available expertise and qualifications.
The post’s main responsibilities will be:
- To administer the procurement at the EMBL Hamburg Unit, ranging from purchasing to invoice control (main task);
- To support training, seminar and conference activities of the Hamburg Unit;
- To support in-house staff and fellows in traveling obligations;
- Optional: possible roles in outreach and public relation activities, in cooperation with EMBL’s Strategy and Communication team and external on-site partner research organizations.
The post holder will be a member of the Hamburg Unit administration team and will participate at other joint tasks of the team.
Qualifications and Experience
The successful candidate has expertise and skills in procurement, relevant software packages, such as MS Office, Adobe software, SAP (or equivalent), as well as experience with bookkeeping processes and project logistics. In addition, the successful candidate has excellent administrative, organisational and communication skills. He/she shows personal initiative and has very good interpersonal skills. Fluency in English is essential. Previous working experience in an administrative position of responsibility, preferably in an international organisation, would be advantageous.
