To reinforce the Product Stewardship team, Cefic is looking for a (m/f/d): Senior Assistant, Product Stewardship Department.

Mission of the role:

Working under the supervision of the Executive Director for Product Stewardship Department (about 20 people), the Senior Assistant will proactively and independently perform a wide range of administrative and general support duties. The position involves frequent communication with senior management, taking initiatives, accepting responsibility and handling of confidential information.

Are you inspired by these responsibilities?

Reporting to the Executive Director of Product Stewardship, you will:

  • Support the Executive Director and take initiatives in organising the daily workflow and smooth running of Cefic’s Product Stewardship team;
  • Be the key contact person for Cefic’s senior management steering group on product stewardship issues (the Programme Council Product Stewardship (PCPS)); take care of and coordinate all communication towards PCPS; plan, organise meetings of PCPS and coordinate internal preparation of meetings;
  • Plan and coordinate activities within the department such as bi-weekly meetings, internal reporting, personal objectives and performance review processes;
  • Support and guide other assistants within the department in handling workload in an effective and timely manner;
  • Help new colleagues onboarding in the team;
  • Provide daily administrative assistance to the Executive Director, including keeping the membership database (Salesforce) up to date, sorting and archiving documents in SharePoint, organising meetings, travel arrangements etc.;
  • Reliably handle confidential information and liaise with high level people both inside and outside Cefic;
  • Have an excellent understanding of Cefic internal procedures/functioning; implement them within the team to ensure compliance at all time.

Can you make the difference?

The successful candidate will be an experienced professional who demonstrates the following experience and competencies:

  • A bachelor’s degree in Office Management or similar;
  • Minimum of 5 years of work experience as a management assistant or a similar role, experience within a trade association is an asset;
  • Excellent time management and organisational skills with the ability to prioritise work according to the needs;
  • Works independently;
  • Meticulous and reliable, with attention to details and deadlines;
  • Strong interpersonal skills and customer-orientation, with sense of diplomacy and team player;
  • Excellent written and oral communication skills;
  • Sense of discretion;
  • Proficiency in IT, web management and social media skills;
  • Full proficiency in Microsoft Office tools (Excel, Word, PowerPoint);
  • Excellent level of English, written and spoken. Knowledge of other languages is an asset;
  • Understanding of underlying issues and proactively developing and evaluating solutions;
  • Takes responsibility for continuously improving customer service within the scope of his/her experience;
  • Ability to adapt in a rapidly changing environment.
