EMBO stands for excellence in the life sciences. We support talented researchers at all stages of their careers in Europe and beyond, stimulate the exchange of scientific information, and help build a research environment where scientists can achieve their best work. The Fellowship Programme provides short and long-term fellowships to life scientists in order to support international mobility and the careers of young researchers based on scientific excellence. The Membership Office coordinates all affairs regarding the over 1,800 EMBO Members and Associate Members, eminent scientists from Europe and beyond who are selected in an annual nomination and selection procedure.

Your role

EMBO is looking for a Programme Assistant (maternity cover) for the Fellowships and Membership Offices. The successful candidate will work for the Fellowship and Membership Offices and assist other EMBO activities as required.

Specific responsibilities:

  • General correspondence and filing;
  • Assist with processing of fellowship applications;
  • Organize and prepare documents for the Membership Committee Meeting;
  • Organize meetings (EMBO Fellows meeting, New EMBO Members meeting, EMBO Molecular Medicine at Basel Life);
  • Provide general administrative assistance to the Membership Office;
  • Collect and collate statistical information as required;
  • Update database records;
  • Assist the respective Programme Heads with related duties;
  • Perform additional tasks as required by the EMBO Director;
  • This position will occasionally require duty travel and working outside of the normal working hours, in the evenings or during the weekend.

You have

  • At least 3 years’ administrative experience, ideally in research administration;
  • Attention to quality and detail;
  • The ability to communicate precisely and politely in English, especially in writing;
  • Strong interpersonal skills, a positive attitude and service orientation;
  • A high level of organisation and the ability to prioritise and multi-task effectively;
  • The ability to work both independently and as part of a team;
  • A sound knowledge of current office software.

You might also have

  • Experience with event organization;
  • A working knowledge of German for communication with local suppliers.
