Description of the Association

ECTA is an Association of IP experts in the field of trade marks, designs, copyright and related intellectual property rights and has been set up to initiate and follow, among others, the European Union Trade Mark and Design legislation. It has over 1500 members from all Member States of the European Union and many members outside the EU (over 40 countries). The working language of the Association is English.

ECTA has decided to strengthen its resources within the Secretariat Office in Brussels, Belgium to serve its members and the IP Community more efficiently. We are therefore looking for an Assistant to perform a variety of administrative tasks and provide support to our Legal Affairs team.

Contractual arrangements

Part time (50%) position.

A successful candidate should comply with all of the following requirements:

Important job requirements

  • A minimum of 3 years’ experience in an administrative position in the legal field (ideally, as a paralegal or a legal assistant), able to provide solid references;
  • English Mother tongue or equivalent excellent knowledge of English. A good command of French and/or Dutch would be beneficial;
  • Outstanding drafting, organizational and research skills;
  • Excellent relationship skills, team player, capable of working efficiently in a small team;
  • Exceptional time management skills and ability to prioritise work, flexibility and selforganization;
  • Ability to follow instructions precisely;
  • Advanced IT skills and web familiarity.

Function

  • Drafting, proofreading, formatting and administration of various documents (in English language);
  • Maintaining internal records and log books;
  • Providing administrative assistance in relation to events, in particular to conferences and workshops;
  • Researching, contacting and inviting speakers; and liaison with Conference and Workshop organisers;
  • Organising conference calls as necessary and preparation of the minutes thereof;
  • Follow-up with participants attending meetings and events on behalf of ECTA;
  • Doing research, in particular on legislative developments;
  • Following up deadlines and sending reminders;
  • Assisting in arranging meetings with officials e.g. European Commission;
  • Assisting in further matters as the need arises.
