About the team/job

We are Europe's research laboratory for the life sciences - an intergovernmental organisation performing scientific research in disciplines including molecular biology, physics, chemistry and computer science. We are an international, innovative and interdisciplinary laboratory with more than 1900 employees from many nations, operating across six sites, in Heidelberg (HQ), Barcelona, Hinxton near Cambridge, Hamburg, Grenoble and Rome.

Your role

What you will do:

  • Supervise the Accounts Payable sub-team in Accounting;
  • Ensure the timely and accurate processing of invoices and payments on behalf of EMBL, including payments made by credit card;
  • Verify accuracy of general ledger allocations;
  • Report and manage current supplier status, i.e. responsible for supplier aging reports and follow-up to ensure aging is within payment terms;
  • Act as a point of contact for internal and external audit requests and external third parties;
  • Manage invoice processing using the EMBL ORC solution;
  • Responsible for the GR/IR reconciliation;
  • Prepare reports and relevant analysis in line with month-end and year-end closing procedures;
  • Ensure timely and accurate processing of credit card transactions for EMBL corporate cards, ensuring accurate allocation in the general ledger;
  • Support in the maintenance of EMBL cost centre master data for control purposes;
  • Responsible for EMBL's tax refund process in accordance with the organisation's Protocol on Privileges and Immunities;
  • The post holder will report directly to the Head of Accounting and will work closely with the rest of Accounting, Purchasing and Scientific groups as well as external contacts.

You have

Qualifications:

  • A relevant university degree with a professional certificate or equivalent qualification in Accounting and 3+ years of relevant experience.

Skills and Experience Requirements:

  • Proven experience in accounting, preferably in public sector accounting;
  • Practical experience with ERP (Enterprise Resource Planning) systems, preferably SAP or Workday;
  • A sound knowledge of Excel and Word;
  • Ability to work both independently and in a team, as well as under time pressure;
  • Excellent interpersonal and team-working skills;
  • Fluency in English is required and a good working knowledge of German.

You might also have

  • Previous experience of working in an international organisation or an organisation engaged in research would be an advantage;
  • Further knowledge of French is an advantage.

The team is dedicated to maintaining high quality services to staff at all EMBL sites.

Please note that appointments on fixed-term contracts can be renewed, depending on circumstances at the time of the review, up to a maximum of 9 years.
